Essential Functions
**POSITION SUMMARY: **
Meeting the requirements of the Executive Vice Chancellor and Dean, the position works closely with the senior management and academic leadership of the School of Medicine in the overall coordination and support of the governance processes and other functions executed by the Office of the Executive Vice Chancellor for Medical Affairs and Dean of the School of Medicine.
**PRIMARY DUTIES AND RESPONSIBILITIES:**
1. Oversees the organization and development of governance meetings and processes including the preparation and organization of materials, correspondence, presentations and records in support of Dean's leadership for these committees, the search and recruitment of chairs, and departmental meetings including:
* Executive Faculty Meetings and Committees.
* Department Head Search Committees.
* Department Review Committees.
* Other committees convened by or chaired by the Dean.
2. Ensure those preparing submissions and presentations for meetings are fully aware of what is required (e.g. deadlines, format, content, delivery). Maintains sufficient familiarity with governance documents to note applicability during meetings.
3. Manages the organization and execution of searches and search committees for department chairs.
4. Manage the organization of department reviews.
5. Researches data for the Dean, preparing materials and presentations using appropriate technology.
6. Oversees development of internal and external administrative reports and responses to administrative and financial surveys. Coordinates and disseminates information to appropriate agencies and external organizations. Serves as a resource for information on institutional data.
7. Structures and coordinates logistics for prominent visitors as required; arranging their participation in institutional events and/or their involvement in institutional activities and/or utilization of services.
8. Manages special projects and other School of Medicine activities as assigned.
9. Such other tasks as may be assigned.
Required Qualifications
* Bachelor's degree in English, Communications or Business Administration with 5-7 years of high level/executive support or other relevant administrative experience. Demonstrated organizational skills, ability to prioritize workload, track assignments and provide organizational support for leadership team.
* Proficiency in the Microsoft Suite is required.
* Experience working in a senior executive environment highly desired.
* Strong analytic skills and financial acumen and ability to assimilate detailed information and pull out essentials would be a plus.
* A demonstrated understanding of governance and decision making processes and the management of committees is preferred.

* Self-starter who can work with minimal direction with excellent proven written and oral communications skills and strong editing skills; but one who can take direction and seek necessary consultation.
* Excellent interpersonal and communication skills who can gain the attention of busy senior academic leaders and recruits; articulate with acumen and able to engage in a polished and professional manner.
* Functioning autonomously and collaborating as part of a team are dually vital.
* Ability to exercise discretion in dealing with confidential or sensitive information.
* Ability to successfully execute multiple, simultaneous projects on tight timelines, in a fast paced and sometimes stressful environment, with quality results.
* Ability to filter information and access priorities.
* Excellent attention to detail and deadlines.
* Excellent interpersonal and communication skills make a compelling communicator who can gain the attention of busy senior academic leaders and recruits; articulate with acumen and able to engage in a polished and professional manner.
* Ability to interact effectively with a variety of people at different levels and idiosyncratic personalities in a diverse and multi-cultural environment.
Salary Range
The hiring range for this position is $62,337 - $81,078 annually.
