This position is full-time and works approximately 40 hours per week.
Department Name/Job Location
This position is in the Department of Pediatrics Hematology/Oncology. This position is for the Medical School Campus.
Essential Functions
Position coordinates office functions, programs and schedules, provides administrative services, and performs specialized/technical duties with minimum supervision.
1. Coordinates staff services, interoffice activities, schedules, programs, and related administrative needs.
2. Administers/prepares reports, minutes, correspondence, lectures and administrative materials required for the direction of the department.
3. Maintains established departmental policies, procedures and objectives including regulatory records for license, dashboards, reports, and notifications as necessary.
4. Evaluates and recommends purchasing sources. Assists with telephone and IT problems, works with vendors to establish and verify terms and agreements.
5. Maintains all department keys, locks and mailboxes. Coordinates ordering and distribution of supplies and handles problems concerning material received.
6. Monitors the general maintenance of the building, notifies maintenance of problems, places work orders, and follows-up with housekeeping on the completion of tasks.
7. Develop budget reports, implements financial monitors, cost transfers, and payroll/purchasing processing.
8. Assists with division community events with coordination of vendors and volunteers.
9. Provides administrative support to division activities including new and existing programs.
Other Functions:
1. Assists with coordination of shadowing, visitors and customers questions and needs.
2. Assists with payroll processing and other clerical functions when needed.
Required Qualifications
Equivalent of Associate's degree with 2-4 years of experience in administrative support.
Preferred Qualifications
* Experience in university/medical environment preferred.
* Working knowledge of general office equipment including word processing, FIS, FOCUS, and similar programs and supervisory skills.
Salary Range
The hiring range for this position is $18.44 - $23.52 per hour.
